Why feedback gets skipped
A busy agent has viewings back to back, new enquiries coming in from the portals and WhatsApp, and offers to chase. Phoning every buyer for their impression, writing it up and sending it to the seller is the task that always slides to tomorrow. By Wednesday it feels too late to bother.
What sellers actually want
- How many people came, and how many were serious.
- What buyers said, good and bad, in their words.
- What it means for the price or the presentation.
- What happens next and when they will hear from you again.
A same-day routine
- Capture every viewer. Name, number and source (portal, board, referral) for everyone who comes through. A sign-in on a phone or tablet at the door is enough.
- Ask two questions the same evening. A short message to each viewer: what did you think, and is it a possible yes, maybe or no? Most people answer a two-question WhatsApp. Few answer a phone call.
- Send the seller a summary by Monday. Numbers, a few direct comments, and your recommendation. Three paragraphs is plenty.
- Diarise the next touch. Every seller gets a date for their next update, even if the news is that it was quiet.
Where automation helps
The repetitive parts run well on their own: the viewer questions go out automatically that evening, answers are collected into one place, and a draft seller summary is ready for the agent to check and send. The agent stays the voice the seller trusts and approves everything before it goes. Portal and WhatsApp enquiries can be acknowledged in minutes with the listing details and available viewing times, so fewer buyers go elsewhere before you reply.
Viewer details are collected for one purpose, used only for that listing, and not added to a marketing list without consent, which keeps the agency within POPIA.
Questions owners ask
- Will buyers find the follow-up message annoying?
- Not if it is short, sent once, and from the agent's own number. Two questions and a thank you reads as service, not marketing.
- Does this work with Property24 and Private Property leads?
- Yes. Portal enquiries usually arrive by email or WhatsApp, and both can feed the same list of viewers and buyers.
